A. General Terms (All Services)
- Every project begins with a written SOW or proposal, agreed to and signed before payment is collected.
- Refund eligibility depends on the service line and project stage, detailed below.
- Approved refunds are returned to the original payment method within 5–10 business days.
- Before filing a dispute or chargeback, please contact us at info@quillharbor.us. We aim to resolve concerns directly and will respond within 1 business day. This does not limit your rights with your card issuer — it’s simply the fastest way to resolve most issues.
B. Ebook Production Services
Payment: 50% deposit to begin, 50% due on delivery of final files.
Delivery confirmation: A project is considered delivered when final files are sent to the client via email or file-sharing link, and the client has had the agreed number of revision rounds to request changes.
| Stage | Refund Terms |
|---|---|
| Before work begins | 100% of deposit |
| After manuscript opened / concepts delivered | Deposit non-refundable (work has been performed) |
| After final files delivered | Non-refundable; revisions covered per package apply instead of a refund |
C. Web Development Services
Payment: Milestone-based — 30% at project start, 30% at approved design/wireframe, 40% at completion.
Delivery confirmation: Each milestone is considered delivered when the client receives the relevant files/preview link and either approves it or the agreed review period (5 business days) passes without written objection.
| Stage | Refund Terms |
|---|---|
| Before milestone 1 delivered | Full refund minus any third-party costs incurred (e.g., domain purchased) |
| After a milestone is delivered and approved | That milestone’s payment is non-refundable; unstarted milestones are refunded |
| Maintenance retainers | Cancel anytime with 15 days’ notice; current billing period is non-refundable once service has begun |
D. Marketing Services
Payment: Monthly retainer or fixed campaign fee.
Delivery confirmation: Ongoing services (SEO, social media) are considered delivered on a rolling monthly basis as work is performed. Campaign services are considered delivered when campaign assets/actions are completed per the agreed timeline.
| Stage | Refund Terms |
|---|---|
| Future, unbilled periods | Refundable if cancelled with 15 days’ notice |
| Current billing period, work already performed | Non-refundable |
| Third-party ad spend already spent (Meta, Google, etc.) | Non-refundable — paid directly to the ad platform, not retained by Quill Harbor |
Performance Disclaimer: Marketing outcomes (rankings, traffic, sales, followers) are not guaranteed. Refunds are based on whether contracted work was performed, not on results achieved.

Our Billing Process
Our Billing Process
The pricing of each project depends on the level of work, services chosen and the particular requirements of your publication.
We start with a consultation and discussion of your publishing goals, reading your manuscript and discussing your needs. From that discussion, we are able to make a proposed recommendation for services and costs that are specifically tailored to your needs.
A 50% advance payment is needed to start the project. The balance is to be paid when the remaining services are completed and your files are production ready for the publication.
Refund & Cancellation Policy
The experts at Quill Harbor offer consulting services, publishing advice and specific publishing services that are geared towards the individual's project. This policy provides information on the conditions associated with canceling a project and requesting a refund.
Project Cancellation
Clients can terminate a project at any time prior to the initiation of work. In case of cancellation before formatting, editing, cover design or any work related to the production has started, the deposit or payment received will be credited in full. After the project has started, it is considered to be a work in progress and requests for a refund will be considered based on the terms set out below.
Refund Policy
Services are tailored to each client and built to fit the scope of services agreed. Generally, fees for services already performed, such as formatting, editing, cover design or other agreed services, are not refundable since project products are developed specifically for each manuscript and may not be used for other manuscripts.
We provide up to three (3) rounds of revisions as part of our normal process to facilitate collaboration throughout the project. Such changes enable clients to inspect the work, give comments and ask for reasonable changes to be made so that the finished work meets the project requirements as outlined in the agreements.
Our Commitment
Our goal is to offer solutions that publish based on each client's goals and project requirements. We will always ensure that the communication is open, feedback is regular and collaborative decision making so that the recommendations and deliverables are in line with your publishing goals throughout the engagement.
